What Information You Should Send a Packaging Manufacturer: The RFQ Checklist

Your quote is only as good as your brief. This checklist covers every field a custom packaging manufacturer needs — dieline, material spec, print, finishing, quantity, destination and target price — so the number you get back is real.

The quality of your packaging quote is a direct function of the quality of your enquiry. A factory cannot price a structure it cannot see, and a vague brief guarantees a vague number followed by a vague box. This checklist covers every field a custom packaging manufacturer needs before they can return an accurate quote — dieline, material spec, print, finish, quantity, destination and target price.

Dieline and dimensions

Send a CAD dieline in AI, PDF or DXF format as the single source of truth. If you do not have one yet, send internal dimensions in mm and we will engineer the dieline for you. Always state the tolerance you expect — standard is ±0.5 mm on finished size, ±1.0 mm acceptable on boxes over 400 mm.

Specification

State inner dims L×W×H in mm, plus wall/board thickness (e.g. 1.5 mm greyboard).
For perfume boxes: inner ≈ (bottle H + 15) × (W + 12) × (D + 12) mm clearance.
Supply the dieline as a vector file; raster images cannot drive a cutting die.

Material specification

Name the board and wrap explicitly. 'Cardboard' is not a spec; '1.5 mm greyboard, density 0.68 g/cm³, wrapped in 157 gsm coated paper' is. The table below translates intent into the numbers a factory prices against.

Board, wrap, insert and magnet

Break the material field into its four parts so nothing is left to assumption: core board thickness and density, wrap paper grade, insert type for product protection, and magnet grade for any closure. Each part is a separate cost and QC line your supplier must confirm.

Table 1. Material fields that turn 'a nice box' into a priced bill of materials.

Component Spec to provide Why it matters
Core board Greyboard 0.8–3.0 mm, density Drives rigidity, weight, die cost
Wrap paper 157/200 gsm coated or specialty Surface feel and print base
Insert EVA / moulded pulp / satin Product protection and presentation
Magnet N35–N52, size e.g. 10×3×2 mm Closure force (≥ 3 N target)
Adhesive PU / hot-melt, if specified Heat and humidity resistance

Print and colour

Specify the colour system and the master reference. Pantone (spot) gives the tightest match; CMYK is cheaper but shifts between presses. State your acceptable deviation — target ΔE < 2–3 against the master — and whether G7 calibration is required.

Colour system and master reference

Send either a Pantone code (tightest, most repeatable) or a CMYK build, plus a physical swatch or approved digital proof as the master. The master is what the factory calibrates the press against, so a missing master is the most common cause of a 'colour looks off' complaint after delivery.

  • Colour system: Pantone (e.g. P 484 C) or CMYK build.
  • Master reference: send a physical swatch or an approved digital proof.
  • Print coverage: full-bleed, spot, or partial — affects plate and ink cost.
  • Special inks: metallic, fluorescent, soy-based for sustainability.

tip

If colour is brand-critical, request a printed proof on the actual wrap stock before production. A proof on coated proofing paper is not the same as a proof on your 157 gsm wrap — the substrate changes the read.

Surface finishing

List every finishing step; each is a separate cost line and a separate QC checkpoint. Be specific about registration tolerance on foil and emboss.

  • Hot foil stamping — foil code, area, registration ±0.2 mm.
  • Spot UV — gloss or matte, full or partial.
  • Emboss / deboss — single or multi-level, depth if specified.
  • Lamination — soft-touch, matte or gloss; note if scuff-resistant required.

Quantity, destination and target price

The commercial fields decide tooling amortisation and Incoterm. Give total units and any per-SKU split, the destination port or warehouse, the Incoterm you prefer (EXW/FOB/CIF/DDP), and a realistic target price so the factory can propose the right material grade.

warn

Omitting the target price forces the factory to quote a middle-grade material they guess at. A stated target (even 'under $1.20 landed') lets them tell you honestly whether your structure is achievable at that number — saving a week of back-and-forth.

From the factory floor

Sampling fee for a custom rigid box: USD 50–200, typically refundable against the first order above MOQ.
Cutting die (one-time): USD 80–400 by size; you own it and can request it shipped with reorders.
Standard lead time after approval: 15–30 days for 500–5,000 units.

FAQ

What if I only have a physical sample, no dieline?

Send the sample and we reverse-engineer the dieline from it, or provide inner dimensions in mm. Expect an extra 2–3 days for dieline recreation before the quote is firm.

How detailed must the material spec be?

Enough that two factories quote the same thing. At minimum: board thickness + density, wrap gsm, insert type, and magnet spec. Vague specs produce quotes that are not comparable.

Should I send target price?

Yes. It is the fastest way to learn if your structure is feasible at your budget and prevents the factory from over-specifying. A range is fine.

What Incoterm should a first-timer choose?

DDP removes freight and duty variables for a first order; FOB gives more control and usually lower cost once you have a forwarder. State it so the quote is comparable to others.

How fast can I get a quote back?

With a complete brief, most factories return a quote in 24–48 hours. Incomplete briefs stretch to a week of clarification — the checklist above is what closes that gap.

Send your brief and get a firm quote in 24 hours

GooinPack turns a complete brief — dieline, material spec, print, finish, qty, destination and target price — into a landed-cost quote with the right Incoterm. Missing a field? We will tell you exactly which one.
